Draft outline, not yet in force and not legal advice. A solicitor needs to write the real terms before anyone is asked to agree to them.

Terms of service

Last updated: [date]

1. The agreement

These terms are between [company name] (“we”) and the business that creates a Bureau Sys account (“you”). By creating an account you confirm you can bind that business to them.

2. The service

We provide Bureau Sys as an online service for scheduling, time tracking and team communication. We may improve or change it, and will give notice of changes that remove something you rely on.

3. Your people and your data

You are responsible for what you and your people put into the service and for having the right to do so, including telling your people how their information is used. You stay the controller of your people's personal data and we act as your processor under the data processing terms in [schedule / link]. You can export your data and delete your company at any time.

4. Plans, trials and payment

New companies get a free trial. After it you can stay on the Free plan, within its limits, or subscribe. Paid plans are charged per active person per month in advance through Stripe, plus VAT, and change as your headcount changes. You can cancel at any time and the plan ends at the end of the period you have paid for. [Refund position.]

5. Acceptable use

Do not use the service to break the law, to harass anyone, to try to access other companies' data, or to overload or interfere with it. We may suspend an account that does, and will tell you why.

6. Availability and support

We aim to keep the service running but do not promise it will never be interrupted. [Support hours and contact.] Do not rely on Bureau Sys alone for anything where a short outage could cause harm.

7. Liability

[To be written by a solicitor: what we are and are not liable for, caps, and what the law does not allow us to exclude.] Payroll and compliance decisions remain yours; the service helps you record and total hours but we do not give employment or tax advice.

8. Ending the agreement

You can close your account whenever you like. We can end the agreement with [notice period] notice, or immediately for serious breach. When it ends we delete your data as described in the privacy notice.

9. General

These terms are governed by the law of [England and Wales]. [Changes to terms, entire agreement, contact.]
